Privacy Policy
Last updated 9 June 2026This policy explains what personal data DIA'LOG collects across our website and our app, why, who we share it with, and the choices you have. We don’t sell personal data, and we don’t run advertising or analytics trackers.
Who we are and what this covers
This Privacy Policy explains how DIA'LOG Jewelers Limited (“DIA'LOG”, “we”, “us”) handles personal data. DIA'LOG is a company incorporated in Hong Kong and a registered Dealer in Precious Metals and Stones (Category A, registration No. A-B-26-04-10755).
It covers two things together: our public website at dialogjewelers.com (the “Site”), and our application at app.dialogjewelers.com and the related services we provide through it (the “App” or “Services”). Where a section applies to only one of them, we say so.

The roles we play
Data-protection law distinguishes between a “controller” (who decides why and how data is used) and a “processor” (who handles data on someone else’s instructions). DIA'LOG acts in both roles depending on the data:
- We are the controller for: information submitted through the Site’s forms; the accounts of jewelers and their team members who use the App; and our own business records.
- We are a processor for: the personal data a jeweler enters into the App about their own clients. In that case the jeweler is the controller — it’s their client relationship and their data — and we process it on their behalf to provide the Services. How we handle that data is also governed by our agreement with that jeweler.
Personal data we collect
Depending on how you interact with us, we may handle:
- Website inquiries — through the “Get in touch” form: your name and email, and optionally your company, role, and message. Through the “Find a jeweler” form: the details of the piece you have in mind (type, occasion, budget range, timing, location, and material or style preferences) and your name, email, phone, and contact preference.
- App account data — for jewelers, their team, and our staff who hold accounts: name, email, login credentials and authentication data, phone number, and business or organization details.
- Client-portal access — where a jeweler invites their client to view work in the portal, we process that client’s email address to send a secure sign-in link.
- Jewelers’ client data (handled as processor) — information a jeweler records about their own clients: names and contact details, addresses, important dates such as birthdays or anniversaries, ring sizes and measurements, notes on interactions, and order, shipping, and billing details.
- Images and files — design references, product and stone images, and related files uploaded to or imported into the App.
- Technical data — essential login/session cookies in the App (to keep you signed in) and basic server logs needed to run and secure the services. We do not use advertising or analytics trackers.
How we use personal data
We use personal data only to run our business and provide what you asked for:
- To respond to your inquiries, and — for “Find a jeweler” requests — to understand your brief and introduce you to a suitable jeweler in our network.
- To create and secure accounts, authenticate users, and operate the App’s sourcing, pricing, quoting, CRM, and order features.
- To send service-related emails (such as sign-in links and notifications about your work).
- To keep our services secure, prevent misuse, and comply with our legal obligations.
Automated analysis of images (AI)
Some App features use a third-party AI provider to analyze images you upload — for example, to classify and tag a design, or to read details from a stone certificate or photo. Only the relevant images and text are sent for processing, and only to provide the feature. Under that provider’s terms for the service we use, data sent through their interface is not used to train their AI models.
Cookies
The Site uses no cookies, analytics, or trackers at all.
The App uses only essential cookies that keep you securely signed in. We don’t use advertising or analytics cookies, and we don’t track you across other websites.
Who we share it with
We share personal data only where it’s necessary to run our services, and we do not sell it. We use a small number of service providers who process data on our behalf, under contract, in the following categories:
- Hosting and infrastructure — to run the Site and the App.
- Database and secure file and image storage — to hold accounts, records, and uploads.
- Authentication — for account sign-up, login, and secure sign-in links.
- Email delivery — to send our service emails and form submissions.
- AI analysis — to analyze uploaded design and stone images for certain App features (described above).
- Optional integrations you choose to connect — such as cloud storage you import images from.
- Manufacturing and sourcing partners — to source materials and produce the items you order.
Keeping our provider list current
We keep a list of the specific providers we use; it’s available on request. For our business customers (jewelers), that list forms part of our data processing terms, and we’ll let them know of material changes to it.
Sharing for specific purposes
- Find a jeweler — for a “Find a jeweler” request, we share your brief with the jeweler(s) in our network we introduce you to.
- Jewelers’ clients — data a jeweler records about their clients is available to that jeweler (and their team), as the controller of it.
- Legal and safety — we may disclose data where we believe in good faith it’s required by law, or to protect the rights, property, or safety of DIA'LOG, our users, or the public.
- Business transfers — if DIA'LOG is involved in a merger, acquisition, or sale of assets, data may transfer to the parties involved, subject to this policy.
Processing on behalf of jewelers
When a jeweler uses the App to manage their own clients, the jeweler is the controller of that personal data and we act as their processor. The jeweler is responsible for handling that data lawfully — including giving their clients any required notice, and having a proper basis to collect and use it.
If you are a client of a jeweler and want to access, correct, or delete the information they hold about you, please contact that jeweler. We will support them in responding.
Where your information is handled
We are based in Hong Kong. The providers above may process data on servers in other countries, including the United States and the European Union. Wherever it’s handled, we expect it to be protected to a standard consistent with this policy and applicable law.
How long we keep it
We keep personal data only as long as needed to provide the services, deal with your inquiry, and meet our legal and record-keeping obligations. You can ask us to delete your information at any time and we will, unless we’re required to keep it. For client data we hold as a processor, we follow the relevant jeweler’s instructions.
Security
Information is sent over encrypted connections, and we use reputable providers with access controls and other safeguards to protect it. No method of transmission or storage is completely secure, but we take reasonable steps to protect your data and to limit who can access it.
Your rights
You can ask us to show you the personal data we hold about you, correct it, or delete it, and in some cases to object to or restrict how we use it or to receive a copy. These rights exist under Hong Kong’s Personal Data (Privacy) Ordinance, and you may have further rights under laws such as the EU/UK GDPR if you are in those regions.

Children
Our services are intended for businesses and adults and are not directed at children. We do not knowingly collect personal data from anyone under 16.
Changes to this policy
We may update this policy from time to time. When we make material changes, we’ll update the “last updated” date above and, where appropriate, let affected users know.
